Studio Policies and Proof of prenatal Care
We try very hard to keep a relaxed, leisurely, and stress-free atmosphere for everyone. For that reason, we ask that you read and adhere to the following appointment tips and policies.
Please plan to arrive 15 minutes EARLY for your ultrasound.
If you arrive late, then you have missed your appointment. Map your travel time in advance and allow for traffic as you would any other appointment.
In order to respect the time of our other paying clients, those who arrive late will have that much less time for their appointment, but will be charged in full. If we are unable to fit you into the schedule on that day, you will be charged for your appointment in full.
Proof of prenatal care must be shown before we can perform an elective ultrasound. Some examples would be ANY ONE of the following.
1. A dated ultrasound picture from this pregnancy or a screenshot
2. An appointment card from your prenatal provider
3. A short note from your prenatal provider stating that you are under their care for this pregnancy
4. Your prenatal welcome packet with your due date
5. If you use a patient portal for your prenatal provider, you may sign in and show us a date of a prenatal visit. A screenshot will work too
Stay hydrated and drink some juice or a caffeinated beverage on the way to your appointment.
Dress in a 2-piece outfit to easily expose your belly.
We encourage you to bring your family, including children to share this experience with you. Notice: During the COVID pandemic, we are allowing 8 additional guests, including children at this time for a total of 10 people per group.
Please have a valid credit card ready when you book your appointment.
A small deposit is required when scheduling your ultrasound. You may pay the balance on the day of your ultrasound.
If you pay by credit card on the day of your visit, a $1.50 credit card processing fee is applied. Thank you for understanding.
We have a 24-hour cancellation policy.
We understand that emergencies happen and you may not be able to make your ultrasound appointment. If a situation occurs less than 24 hrs before or on the day of your appointment, we will charge your credit card that we have on file for your visit. Simply text us proof of your emergency to 617-838-4120 when you find the time and your fee will be returned to you immediately. We respect your HIPPA rights so your private information may be redacted or excluded..
You may also e-mail us at Kim@anewconception.com. We apologize for this inconvenience, and we certainly never want to enforce such a policy. Honesty is the best policy!
It is our goal at A New Conception Ultrasound Studio to maintain an environment of health and wellness. Our clients include pregnant women and unborn babies, and illness presents a greater risk to these populations. Therefore, to protect the health of our clients and staff, we ask that you call us at the earliest sign of illness to reschedule your appointment so that you can take the time to nurture yourself at home.
If you have a fever, severe cough, colored nasal discharge, or stomach ailment, we reserve the right to refuse service. Our clients and staff will have a better chance of remaining healthy if all guests follow these guidelines.
Live Internet streaming and OnDemand Internet streaming is available with the Babyflix app with NO additional fees if a guest is unable to come to the ultrasound.
Will my 3D ultrasound pictures be perfect?
Well, the answer to that question is . . . hopefully, but not always. However, we promise to make every effort to obtain the best possible images. Every baby scans differently, depending on its gestational age, position, amount of fluid, and mother’s BMI. Unfortunately, we cannot make any guarantees that the images will be similar to those you might have seen elsewhere or even from our own studio, or that we can always meet everyone’s expectations. We have learned that a great picture is determined differently from person to person. If we are unable to get clear pictures due to the mother's condition, then we are under no obligation to redo the ultrasound free of charge.
The reality is, it is simply physics that sometimes makes it difficult to see a baby clearly in some women with a higher BMI.
Perfection is subjective! We love action shots!
If for some reason you must return for a redo scan, your redo ultrasound must be scheduled within 2 weeks. Occasionally, due to busy or conflicting schedules, we may make an exception. It is best to reschedule your redo appointment before you leave the studio.
We are a family-friendly business, and we strive to meet the needs of children and their families. We have play areas for your children to keep them busy and enjoy themselves. Please be courteous to our staff and others by cleaning up our play areas before you leave our studio. Also, if a child has an accident or spill, please let us know as soon as possible so that we may clean and sanitize the accident and keep our studio clean.
We do encourage everyone to share this experience with ALL their friends, family, and loved ones, including children. With that said, we need everyone to respect our studio. If your child/children are being destructive or extremely misbehaved, we will end your scan early. We want you to be relaxed, focused and be able to enjoy your ultrasound experience.
** Please do not allow your child to roam BEHIND our ultrasound machine! If your child is not being supervised and is allowed to UNPLUG any wires BEHIND the machine and causes any damage, we reserve the right to charge you for the repair costs. We will end your session, and you will be charged in full. Our ultrasound service tech charges $350 per visit PLUS repair fees. A detailed repair invoice will be sent to your address on file.
Snack Policy -
Due to COVID, our full snack station has been temporarily removed.
Cold bottled water and soda is available for Mommy and stored in our break room. If you would like a cold drink, please feel free to ask! Feel free to bring your favorite snacks for you or your family to enjoy during your ultrasound.
We have a toy chest for children who are well behaved during your appointment, and we are happy to reward the children with the permission of mom and dad after your ultrasound.
Our main goal is for everyone to enjoy themselves while at our studio.
Gift cards are valid for a specified dollar amount or package and are not redeemable for cash. A New Conception is not responsible for lost or stolen gift certificates. Please treat them as cash. If you have purchased a gift certificate, you will not be required to leave a deposit at the time of scheduling. However, If you fail to show, your gift certificate will be voided.
* When booking online with a gift certificate, please chose the "I HAVE A GIFT CARD" option and write the package of your choice or the amount of your gift card in the comment box.
A New Conception is not responsible for lost or stolen items. We do keep a lost and found. If you think you have lost an item at our studio, please call us at 781-878-1230.
Mobile Phone Policy
As a courtesy to our guests, we ask that you please turn your cell phones to silent when entering the studio and step outside to take a phone call unrelated to sharing your ultrasound. FaceTime is allowed at our studio, but no video can be taken of our techs during a scan due to HIPPA laws.
Still photography is allowed as long is it does not interfere with the ultrasound experience. If time allows, we will show the baby on our TV screens AFTER the ultrasound and you can photograph away!
Right to Refuse Service Policy
In order to serve the best interest of our clients, our staff reserves the right to refuse service at any time. Although we are an extremely family-friendly studio and invite you to bring large groups, destructive persons will kindly be asked to leave and you will be charged in full for your package. In the unlikely event that you are refused service, please understand that it was necessary and very difficult for us.
For the safety of our staff and families, our studio is video and audio taped at all times (except in the lavatory)
